Integrated RFID Management Project for 5 Cross-Region Stores of an Apparel Chain

Using the Smart Cloud RFID management system (chain edition) together with apparel RFID tags, handheld readers, smart barcode scanners, and security gates, the project manages 5 directly operated stores across Anhui and Nanjing, Jiangsu as one, supporting batch stocktaking, inbound and outbound verification, cross-region inventory sharing, transfers, and loss prevention.

Client Background

The client is an apparel chain retailer operating 5 directly operated stores across Anhui and Nanjing, Jiangsu. With many style, color, and size combinations and frequent new arrivals and stock movement, cross-region operations further increased the need for coordination in inventory verification, item lookup, replenishment, and store transfers.

Previously the company relied mainly on item-by-item barcode scanning and manual logging, so store inventory updates and verification were not timely enough. The company wanted to bring its cross-region stores under unified management with RFID and a chain management system, improving stocktaking and inbound/outbound efficiency and strengthening inventory sharing, merchandise security, and movement traceability.

Project Challenges

Time-consuming stocktaking and inbound operations

With many style, color, and size combinations, traditional item-by-item scanning and manual logging were repetitive, and stocktaking at a single store took considerable labor and time.

Inconsistent cross-region inventory information

Store inventory updates were not timely enough, and manual entry, missed scans, and mis-scans easily caused book-to-physical variances, affecting headquarters' visibility of inventory as well as inter-store item lookup, replenishment, and cross-region transfers.

Hard-to-detect, hard-to-trace merchandise loss

Without timely entrance and exit verification and exception records, lost, wrongly taken, or cross-sold goods were hard to detect and trace in time.

Limited coordination efficiency between stores and headquarters

With many style-color-size combinations and frequent new arrivals, item lookup, replenishment, and cross-region transfers between stores relied mainly on manual communication and offline consolidation, putting considerable pressure on coordination.

Solutions

The project uses the Smart Cloud RFID management system (chain edition) as its business platform, together with apparel-specific RFID tags, RFID handheld readers, smart barcode scanners, and store security gates, bringing the 5 directly operated stores in Anhui and Nanjing, Jiangsu under unified management.

By linking apparel items and their style, color, and size data to RFID tags, the system supports batch stocktaking and inbound/outbound verification while reducing item-by-item scanning. Purchasing-sales-inventory data from each store syncs to the system, supporting cross-region item lookup, store transfers, inventory alerts, and remote viewing by headquarters.

Store RFID loss prevention devices raise exception alerts based on merchandise settlement status and record the related information; the system consolidates business records and statistical reports to support inventory verification, merchandise traceability, and operational decisions.

The solution's hardware and software are configured around the many style-color-size combinations and fast new arrivals typical of small and mid-sized apparel chains, balancing deployment convenience with the daily operating needs of store staff.

Workflow

Item master data creation

RFID tag linking

Batch inbound verification

Store display and inventory management

Sales outbound or inter-store transfer

Inventory and business records synced

Stocktaking is carried out on demand in daily operations, and security gate exception alerts work continuously in entrance and exit management; neither depends on completing every step above.

Key Functions

Item master data and RFID tag linking

Links apparel items with style, color, and size data to provide a basis for item identification and business verification.

RFID Batch Count

Reads apparel tags in batches to verify physical items against book inventory, reducing item-by-item scanning.

Fast inbound and outbound verification

Supports verification of inbound and outbound goods in batches and syncs the results to the system.

Cross-region inventory sharing

Consolidates inventory from all 5 stores in Anhui and Nanjing, Jiangsu, supporting inter-store item lookup and remote viewing by headquarters.

Store transfers and inventory alerts

Supports cross-region store transfers, inventory updates, and alerts, providing a basis for replenishment and stock allocation.

Smart loss prevention alerts

Raises an exception alert and records information when unpaid items are taken out, helping store staff verify and handle the situation.

Merchandise movement traceability

Queries item movement and related exceptions based on the inbound, sales, transfer, and stocktaking records already collected by the system.

Digital statistical reporting

Generates stocktaking, inventory, and merchandise loss reports, reducing manual consolidation and supporting stocking, transfers, and operational analysis.

Results

According to the project team, stocktaking at a single store was shortened from about a full day to about 1–2 hours, reducing the labor and time spent on concentrated counts.
Reduces variances caused by manual entry and item-by-item scanning, improves inventory verification efficiency, and provides more reliable data for item lookup, replenishment, and inter-store transfers.
Security gate exception alerts and related records help staff detect and verify exceptions in time; the project team reports that merchandise loss has decreased.
Inventory and business data from the 5 directly operated stores in Anhui and Nanjing, Jiangsu are managed centrally. Headquarters can remotely view each store's inventory and business status, supporting cross-region item lookup and transfers while reducing offline coordination and manual consolidation.
Stocktaking, purchasing-sales-inventory, loss prevention, traceability, and reporting are managed in one place, reducing duplicated work across systems and manual steps and fitting the many style-color-size combinations and frequent new arrivals of apparel.
Batch reading replaces item-by-item scanning for inbound and outbound verification, reducing the steps and repetitive work in the verification process.
Inbound, sales, transfer, and stocktaking records are kept together, so item movement and related exceptions can be queried on demand.
Stocktaking, inventory, and merchandise loss reports are generated by the system, reducing manual consolidation and store-by-store reporting.
