Client Background

The company is a state-owned, sole-owned enterprise that is responsible for the construction, operation and management of the smart park. As the park continues to be built and its scope expands, the number of Fixed Assetss is increasing, with assets distributed in different offices, departments, warehouses, aircraft rooms and areas of use.

Clients need to establish a unified Fixed Asset Management platform that brings together previously dispersed asset information, business documents and management records to digitize the entire process from the procurement of the inventory to the final end-of-life disposal.

Project Challenges

The number of assets and the range of management

More than 20,000 Fixed Assetss are distributed in different sectors, buildings, offices, warehouses and equipment areas, making it difficult to keep up to date with the physical location and state.

There are many business processes and information is scattered

It is difficult to form a complete closed circle for such operations as procurement entry, access, withdrawal, transfer, loan, transfer, maintenance, impairment and end-of-life.

The position and the person responsible are subject to frequent changes

Assets are constantly flowing between departments, persons and storage locations, and the lack of timely updates can easily lead to confusion and difficulty in tracing those responsible.

Inefficient counts and difficulties in reconciling accounts

The search and registration of each case involves a large and long time-consuming workload and is prone to leakages, miscalculations and duplicates.

Lack of visual management of asset status

Intuitive displays of usage, idleness, maintenance, loan and end-of-life situations are not available, making it difficult to keep abreast of utilization and anomalies.

Complex data access management

There is a need to separate data coverage by organization, department, post and management responsibilities to avoid over-authorization of asset information.

Solutions

The project is based on RFID technology, establishes a unique digital identity for each Fixed Assets in the park and manages the asset archive, business process, location status and operational records through Fixed Asset Management System. The system supports the import of information from the old system or Excel batch, generates asset numbers and EPC codes, then completes tag printing, writing and binding.

When assets are in storage, in receipt, in repossessed, transferred, borrowed, transferred, repaired, impaired and scrapped, the system is updated in a synchronized manner, in sectors, responsible persons and positions, and the operational flow is maintained.

The inventory personnel read live assets through RFID Handheld Reader in bulk, the system automatically checks inventory tasks and Asset Register, identifies inventoryed, unassembled, surplus, loss and misplaced assets, supports the uploading of physical photographs and enhances the efficiency of queries, verification and system synergy through the rights control and API interface.

API links business systems to improve financial synergies in procurement

How can the campus be managed in a uniform manner, given the volume and high turnover of its assets?

The establishment of a single digital identity for each asset through RFIDFixed Asset Management System, which runs through the entire process of inventory, acquisition, transfer, inventory, maintenance and write-off, has resulted in a clearer location, clearer responsibility and more accurate data.
