Client Background

The freeway management centre in Guangdong is a subsidiary of a State enterprise and is responsible for the operation of more than 30 highways and 20 management parks.

These assets are distributed across different campuses, departments, offices, warehouses and dormitories, and are scattered, staffed and transferred frequently. In the past, they were based mainly on paper Asset Register, Excel forms and manual case-by-case reconciliations, with problems of long inventory cycles, late data updates, unclear asset locations and inconsistent accounts.

Project Challenges

Large number of assets and wide distribution

Assets are scattered over multiple highways to manage parks, office areas, dormitories, warehouses and vehicle use units, making it difficult to keep abreast of actual locations and operational status in a timely manner.

Long inventory cycle, heavy manual workload

Traditional inventories require a case-by-case look-in and registration of labels, which is time-consuming and prone to leakage, double-checking and entry errors.

Asset Transfer is frequent and information is delayed

Assets are frequently transferred between campuses, departments, offices and duty-bearers, and manual registrations are difficult to synchronize in a timely manner.

The booking data is not consistent with the physical

The de-labelling, change of location or responsible person, and the untimely updating of the disposal of assets have made it difficult to match the booking data with the physical on-site.

Solutions

The project combines RFID tags, a handheld inventory reader, and a Fixed Asset Management System to give every fixed asset a unique digital identity. The system imports existing records, generates a unique asset number and EPC code based on asset class, material, and environment, and uses standard adhesive, flexible anti-metal, and specialty labels for encoding and physical binding.

The system automatically matches the results of the scan with the tasks of the inventory, identifying the assets that are already on the disk, undiscounted, undiscounted, surplus, deficit, misplaced and abnormal.

The simultaneous recording of the location, use department, responsible personnel, operational time and state of operations, such as Asset Transfer, loan, return, maintenance and end-of-life, provides a complete record of the asset flow.
